ABOUT THE POSITION
There is one contingent (temporary) Office Assistant II vacancy which will support the Seeds of Hope, a community collaboration to increase connection and support in the homelessness community, including those already housed and those still unhoused.
Work Schedule:
This position will work no more than 10 hours a week on average, including nights and weekends. During Seeds of Hope event week, the hours worked will shift to 10 to 15 on average. This schedule is subject to change based on program need.
This is an administrative position within Marin's Substance Use Services team, which is in the Department of Health and Human Services, Division of Behavioral Health and Recovery Services. The program is committed to addressing substance use and related impacts in Marin County.
Duties include:
*Assist with Seeds of Hope event setup, cleanup and during the event. This may include registering volunteers and service providers, collecting table counts, setting up tables and chairs, transporting supplies, etc.
*Planning and improving the Seeds of Hope. This may include gathering feedback from Marin's homelessness community in focus groups or individual interviews in the field, participating in planning and debrief meetings, collecting feedback at the event, etc.
*Publicizing the event. This may include outreach at encampments, shelters, or other locations with another person from the Seeds of Hope team, printing flyers, drafting announcements and emails, and other duties.
*Record keeping. This includes assisting with the planning and debrief meetings, counting and recording attendance at the event, tracking next steps and who is responsible for them, etc.
The Office Assistant II will be supervised by the BHRS Substance Use Senior Department Analyst. This position requires personal or family experience of homelessness, knowledge of and the ability to build trust with Marin's homelessness community, an ability to communicate verbally and in writing with the diverse array of partners and guests at the Seeds of Hope, the ability to track and organize information (including digitally), and use of computer systems for email, to record time worked, etc. Some evening/weekend hours may be required.

The ideal candidate has strong interpersonal skills and the ability to communicate with a diverse client base in a tactful, patient and courteous manner, while working independently, and as a part of a team. This individual thrives in a fast-paced client-facing clinic environment, can adapt quickly to new technologies and systems and is flexible towards changes in processes and instructions. They take initiative and independent judgment to respond to inquiries and establish priorities as appropriate. They possess a strong attention to detail and excellent customer service skills. The candidate is confident in asking questions and taking the initiative to solve problems. Ideally, you or someone close to you has faced challenges related to being unhoused. At least one year of experience performing customer service and administrative support in Behavioral Health or a related Healthcare environment, intermediate proficiency with MS Word, Outlook and Excel are preferred. Prior experience working in a medical, dental or other clinic setting is ideal.
QUALIFICATIONS- Knowledge of
- Standard office practices and procedures including filing and retrieval systems, correspondence formats and the operation of standard office equipment.
- Standard office applications including word processing, spreadsheet and database systems.
- Correct English usage including grammar, spelling and punctuation.
- Business arithmetic.

- Learn policies and procedures related to the department to which assigned.
- Understand and follow written and oral instructions.
- Perform simple mathematic calculations.

- Type at an acceptable rate of speed based on the requirements of the position.
- Perform general clerical and technical work quickly and accurately.

- Prepare and maintain accurate and concise records and reports.
- Read and comprehend manuals and instructions related to assignment such as: maps; drawings; policies and procedures; training materials; code books; instructions for equipment; and safety rules and procedures.
- Perform basic mathematic calculations.
One year of experience performing clerical/office support duties that demonstrate knowledge of standard office applications and practices. Completion of a clerical training program or office administration coursework may be substituted for up to six months of the required experience.
Clerical/office support experience includes preparing, interpreting and maintaining a variety of records and/or documents; use of standard office applications and equipment; and greeting and assisting members of the public.
