Full Job Description

DUTIES AND RESPONSIBILITIES:

  •  The Customer Service Specialist position reports directly to the Administrative and Fiscal Operations Manager. The Customer Service Specialist performs the following duties:

  • Maintain regular billing cycles for city wide water/sewer accounts (approximately 2,500 per cycle) Run billing reports for high usage and exceptions and brings irregularities to supervisor's attention.

  • Work with Finance Department to complete billing cycles twice a month as the set schedule dictates.

  • Process final bills each week, as well as "special" bills upon request

  • Work to estimate meter reads if MTU’s do not transmit

  • Review accounts to ensure billing accuracy

  • Maintain Water billing system information as needed

  • Respond to customer inquiries regarding water bills, usage, billing information, senior discounts, online water usage and water/sewer rate inquiries, water bill adjustments.

  • Conduct MUNIS testing in conjunction with the Finance Department

  • Sort department mail daily

  • Act as back up for the Fiscal Coordinator as needed

  • Responsible for answering the department’s main telephone line, the entry doorbell/intercom, and providing parking passes for visitors when assigned.

  • Will provide back-up for delivering department paperwork to and from City Hall and other City locations

  • Responsible for attending monthly water board meetings and taking minutes.

  • Tasked with compiling and distributing the monthly water board package to department staff and water board members

  • Perform other tasks, duties and responsibilities as may be assigned 

MINIMUM REQUIREMENTS:

  • Experience with water billing and MUNIS UB or similar utility billing system

  • Demonstrated computer literacy particularly Microsoft Access, Excel and Word

  • Strong interpersonal and communication skills, both written and verbal.

  • Must have good organizational skills and ability to handle multiple tasks simultaneously.

  • Proven ability to interact well with a diverse range of people including citizens, staff and other City Department personnel.

  • High School Diploma/GED required.

  • Valid driver's license required.

WORK ENVIRONMENT:    Work is primarily conducted in an office environment with fluorescent lighting, within the water treatment plant around large mechanical and electric equipment and in the laboratory with sampling instrumentation and process chemicals. Standard office environment which includes, air conditioning, computers, and other standard office equipment.  Position may be eligible for hybrid work under the City’s Telework Policy, depending on operational needs.
