We have an opening for an Administrative Assistant. We operate within a hybrid work model, supporting flexibility between office time and work from home. Considering this model, this role could be based in the following cities:

Position Summary:

Join our team as an Administrative Assistant, where you’ll play a vital role in supporting our Human Resources (HR) and Equity, Diversity, Inclusion, and Belonging (EDIB) teams.
This is a newly created role, perfect for someone who is service-minded, detail-oriented, proactive and eager to take on diverse responsibilities that help elevate the employee experience and promote equity both within and beyond our firm.

What you will do:
- Build agendas and capture meeting minutes for HR leadership, team meetings, and HR & Equity forum meetings.
- Extracting and compiling raw data for reporting needs (e.g., appointment, career management, equity, proposal, recruiting, retirement, turnover, etc.)
- Preparing logistics for learning events (virtual/in-person), including Zoom/room setup, material distribution, attendance and post-event content upload and surveys
- Support onboarding compliance tasks (Background checks / MVR records / I9s)
- Coordination support for Communities of Belonging activities and affinity-based conference participation (e.g., AIA WLS and NOMA)
- Respond to basic inquiries regarding HR platforms
- Manage invoices
- Ensure confidentiality and professionalism in handling sensitive information with discretion
Required Qualifications:
- High school diploma or GED
- 2 or more years administrative assistant experience.
- Proficient with Microsoft Office Suite (Excel, Outlook, Powerpoint, Word)
- Experience using Teams and Zoom
- Dynamic and collaborative team player, thrives in a fast-paced startup environment, and adapts to shifting priorities and ambiguity in a high-growth company
- Proactive, proven ability to work effectively independently, with excellent organizational skills and fierce attention to detail
- Exceptional written, verbal, and interpersonal communication skills used to build trust and meaningful relationships with diverse stakeholders
Preferred Qualifications:
- Previous experience in hospitality or customer service environment.
- Experience in architecture, engineering, or construction (A/E/C) industry.
- Interest in and awareness of equity-centered, sustainable work practices

The suggested pay range for this position is:
